Stock check
Stock check is for fixing stock numbers as you walk the floor. Scan an item, see how many DK says should be there right now, and either confirm it or enter what you actually find. The difference is booked in DK at once. You find it in the menu under both Store Operations and Warehouse as Stock Check.
It isn't a count. An inventory count is the formal route and has to be confirmed in DK. A stock check corrects one item at a time, immediately, with nothing left to confirm in DK.
Starting a check
- Where are you? Your own store is picked for you. Administrators and Purchasing can pick any location.
- What are you checking?Anything, or one supplier or product group. Picking one lets Finish show what you didn't scan (see below).
Checking an item
- Scan it (or type the SKU, or search by name). Stokk reads DK's stock for this location at that moment.
- Should be hereis DK's number, less anything already picked for orders but not yet sent. Those units are on the packing bench, not the shelf, so don't count them.
- If it's right, tap the green button. Nothing is posted.
- If not, type what you find (shelf and back room together): the cursor is already in the quantity box. Pick a reason and save. Stokk reads DK again at that moment and books the difference.
DK's number can be up to an hour old
Stokk reads DK through DK's online service, which catches up with the tills and DK about once an hour. If the item sold at this location in the last hour, "Should be here" still includes those units, and correcting it would count those sales twice. For fast sellers, check them before opening or after closing.
Big changes (20 or more, or half the stock) ask you to tap twice. A scan that lands in the count box by mistake is treated as a scan, not a number.
How corrections are booked in DK
An administrator chooses the method in Admin → Integrations:
- Move to the adjustments warehouse: each correction is a transfer to or from that warehouse (for example BGZ), posted in DK straight away. You can undo it for 24 hours. Someone clears the adjustments warehouse in DK now and then to book the loss.
- Write off in the inventory journal: when you finish the check, all its corrections go to DK as one inventory journal, booked as shrinkage at DK's cost. DK doesn't let Stokk post it, so someone posts that journal in DK. Until then DK's stock doesn't include the corrections.
Stokk shows the new number at once
Stokk updates its own stock as soon as you save, so ordering and reports use the corrected figure right away. The adjustments warehouse is never counted as stock anywhere in Stokk.
Finishing
Tap Finish checkwhen you're done. If you picked a supplier or group, you'll see the items in it that DK says are at this location but you didn't scan. For each one, look for it: scan it if you find it, or tap Not here to set it to zero. Skip leaves it alone.
With the journal method, finishing is also what sends the corrections to DK. A check you leave open keeps them waiting.
From Item Lookup
In Item lookup, tap Fix stock at … under the stock list to open a check for that location with the item already scanned.
Who can use it
Administrators and Purchasing by default. An administrator can give other roles Stock check in Users & roles.
