When a supplier replies to an order, or bills you for it, what they send rarely matches the order line for line. A few items are short, one is discontinued, a price went up, something you never ordered is on the invoice. Upload their document to the purchase order and Stokk reads it and lines it up against what you ordered, so you only look at the lines that differ.
This is a check, not bookkeeping. Nothing on the order or in your ERP changes.
Open the order under Purchasing → Purchase orders. Below the totals are three tabs: Order, Confirmation and Invoice. Open the right tab and drop the file in, or use the upload button. PDFs, photos, Excel and CSV files all work. A long invoice takes a minute or so to read.
The file is kept on the order. Open original shows it again any time, for example when you need to dispute a line with the supplier. You can add several documents to one order, such as a revised confirmation or partial invoices.
Lines with a difference are listed first. Each one is tagged with what is different:
Suppliers often confirm and invoice in cartons. Stokk converts these to units, using the pack size on the document or the item's order multiple, and notes it on the line ("Read as 6 × 12").
Freight, surcharges and other non-product amounts appear under Charges. If the document refers to a different order number, or the lines Stokk read don't add up to the document's total, you'll see a warning. Check against the original, or use Read again.
With more than one invoice on an order, All invoices adds them together. The Order tab also gets Confirmed and Invoiced columns, so you can see each line at a glance.
Admins and purchasing managers can upload and remove documents. Everyone who can open the order can see them. The files are private: a copied link only opens for someone signed in to your company with access to purchasing. See Purchase ordersfor the rest of the order's life.
