Manage gift cards
The Gift cards section of the sidebar (/gift-cards) is for managers. Your role needs the Gift cards module, and your company needs gift cards switched on.
Overview
- Outstanding balance: what customers can still spend with you. It is the figure your accountant needs for unused gift cards.
- Money on cards: what was sold and topped up against what was spent, week by week.
- Needs attention: cards that weren't delivered, cards on hold and sends scheduled for later.
- Cards: search by name, phone, email, the last four characters or the full code. Export downloads every card with its balance as a spreadsheet file.
One card
Open a card to see its timeline: the sale, every payment and top-up with who and where, when it was sent, opened and added to a wallet. From there you can:
- Send again, or change the recipient and send it to a new number or address.
- Refund a payment or undo a top-up.
- Put on hold (a lost card) and release it later.
- Change validity or correct the balance with a reason.
- New code and link: if someone else may have the code, the old code, QR and link stop working and the balance moves to the new ones. Wallet passes update by themselves.
- Cancel: removes the balance for good, for example after refunding the card at the till.
- Show card link: for helping a customer who lost it. Each look is recorded.
Designs
Under /gift-cards/designs you choose a style, colours and an optional card title, or upload your own image. The previews show the card on an iPhone with iOS 27, on older iPhones, in Google Wallet, on the card page and in the email. Staff pick a design when they sell; the default design is selected first. Saving updates cards already in phone wallets within minutes.
Settings
Under /gift-cards/settings you set the name and logo on the card, quick amounts, the smallest and largest card, validity, terms, website and shop links, contact details, the SMS sender name and a note shown to staff at the till. The Connections panel shows whether Apple Wallet, Google Wallet, text messages and email are set up.
Apple Wallet setup
Apple Wallet needs your company's pass certificate, which Stokk adds for you. Until then customers use the card page and its code.
